We collect and process personal data when you: • Purchase coaching services or digital products • Sign up for our newsletter or marketing materials • Contact us via email or forms • Engage with us on our website or social platforms • Participate in a course, coaching programme, or download our resources

The data we may collect includes: • Name, email address, phone number • Billing and payment details (processed securely via Stripe) • Coaching history, preferences, and session notes • Interactions with our digital content (via cookies or analytics tools)

Where you voluntarily share information related to your wellbeing, identity, or personal experiences, this may include special category data. Such data is processed only with your explicit consent, and solely for the purpose of supporting our coaching work.

We do not routinely request or store clinical diagnoses, GP details, or medical records, as we do not provide therapy or healthcare services.

3. How We Use Your Information

We use your personal data to: • Deliver coaching services, courses, and digital products • Respond to enquiries and provide customer support • Send updates, newsletters, or marketing emails (with consent) • Customise your experience and recommend relevant content • Comply with legal obligations and exercise legal rights

As part of our service delivery, we may use trusted digital tools to support the creation and management of content (e.g. course resources, written reflections, or administrative material). On occasion, this may include tools with AI-based functionality (such as proofreading, summarisation, or transcription), but only in limited, non-sensitive contexts or with your consent where applicable.

Where 1:1 coaching sessions are recorded or transcribed for your benefit, this will only be done with your prior agreement, and all such material is stored securely and treated as confidential. You may opt out of this at any time.

We do not sell, rent, or trade your personal information. Session content, notes, and transcriptions are never shared with third parties unless legally required (e.g., if there is risk of serious harm). You may request access to, or deletion of, your records at any time—subject to professional and legal obligations.

4. Legal Basis for Processing

We rely on the following lawful bases under UK GDPR to process your data: • Contractual necessity – to provide the services you've requested • Consent – for marketing emails and optional features (such as recordings) • Legitimate interest – to improve services and manage business operations • Legal obligation – where required by UK law.

Where you share special category data, we process this based on your explicit consent.

5. Data Storage and Retention

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, username, password, transaction information and data stored on our Site. Your personal data is stored using secure, encrypted systems. We retain data only as long as needed for the purposes outlined in this policy or to meet legal obligations.

Coaching records and session notes may be stored securely for up to 7 years, in line with professional guidance. You may request earlier deletion, unless legal reasons require continued storage.

6. Your Rights

Under the UK GDPR, you have the right to: • Access your personal data • Request correction of inaccurate data • Request erasure ("right to be forgotten") • Restrict or object to processing • Withdraw consent at any time • Object to automated processing or profiling (where applicable) • Lodge a complaint with the UK Information Commissioner’s Office (ICO)
